Sunbed salon compliance and risk management
Sunbed Hub helps UK salon owners organise staff training, documents and operational records. Good records support consistent working practices, but software, training certificates and platform scores do not guarantee legal compliance or remove the health risks of sunbed use.
Know which requirements apply to your premises
Under-18 commercial sunbed use is prohibited across the UK, but the legislative frameworks and additional safeguards differ in England, Wales, Scotland and Northern Ireland. Owners should check current national legislation, official guidance and their local authority’s advice. Equipment standards, insurer conditions, safety guidance and your own salon policy should be recorded as such, not described interchangeably as law.
Age checks and controlled access
Make responsibility for age checks and granting access clear. Staff need a consistent refusal and escalation process when a customer cannot demonstrate eligibility. Review automated, coin, token and contactless access to understand who controls entry and which checks occur. Keep records proportionate: recording a decision does not automatically justify retaining a copy of someone’s identity document.
Staff and training records
Sunbed Hub lets salon owners manage staff accounts and training records. A completion record can help demonstrate that a person has worked through the platform’s learning and assessment process. It does not establish that the individual is competent in every operating situation or remove the owner’s responsibility for training, authorisation and supervision. Staff should know when to stop and ask a manager rather than operate outside their competence.
Equipment, lamps and maintenance
Equipment records help owners organise maintenance, lamp checks, service information and unresolved concerns. Keep manufacturer instructions accessible and record actions when equipment may be unsafe. Distinguish the technical expectations associated with equipment standards from duties created by sunbed legislation. A completed maintenance entry is not a substitute for investigating a fault or obtaining competent technical advice.
Documents and operational records

Daily operational records and editable templates can support a consistent process for cleaning, client consultation and incident handling. Use documents that fit your premises and review them when staff, equipment or procedures change; a template is a starting point, not a guarantee that your business meets every requirement.
Sunbed risk assessment and customer safety
A useful risk assessment considers the people, equipment and working arrangements at your premises, the potential harms and the controls you will implement and check. Review UV exposure, client suitability, eyewear, cleaning, maintenance, incidents and staff responsibilities. Consultation forms and consent signatures do not make tanning risk-free. UV exposure can cause cancer, burns, premature skin ageing and eye damage; avoid unsupported health claims.
Keep regulatory updates separate from current law
The 2026 DHSC consultation on additional safeguards for England closed on 14 August 2026. As checked on 3 October 2026, GOV.UK says feedback is being analysed. The proposed ID, supervision, sale or hire, health-information, eyewear and health-claim safeguards should not be presented as enacted English rules without checking subsequent legislation and commencement. Preparation can be sensible while the final legal position remains unconfirmed.

Those records remain behind the existing account and membership controls. Owners should limit access to people who need it and consider data-protection obligations when collecting and retaining customer information.
